Inphiz’s ready-made integration services retrieve data from the management system in Microsoft SharePoint O365, as well as from Azure AD for security and login. Mobile BankID is planned for release in Q1 2025.

Inphiz simplifies the working day for dock workers, crane operators and operations personnel by enabling smooth communication with operations managers and making it easier to comply with legal requirements. What was recently difficult and time-consuming has now become simple and efficient.
Through fast communication with everyone on site, combined with efficient handling of areas such as digital driving permits, everyday work has become more enjoyable and collaborative.

A Port with History and a Vision for the Future

Mälarhamnar, with its strategically important locations in Västerås and Köping, has been a central part of trade and industry in the Mälardalen region for centuries. From Binders to Digital Control

HR Manager Magdalena initiated the work to digitalise HR processes, replacing manual workflows, paper binders and scattered digital files with one unified system. The new solution provides full control over employee competencies, while also enabling communication and self-service for both office staff and dock workers.

One of the most significant initiatives is the implementation of Hamnkoll — a mobile app that gives all employees direct access to management systems, safety procedures and driving permits in real time. In addition to streamlining the distribution of information and ensuring the right competence is in the right place, Hamnkoll has also become a convenient communication tool for supervisors and dock workers.

Digitalisation That Creates Engagement

Previously, extensive administrative work was required to ensure that all employees had access to updated governing documents, safety regulations and procedures. With Hamnkoll, this work has been simplified, leading to increased transparency, engagement and collaboration around work environment and safety.

The implementation of the digital solutions has already had positive effects. Questions related to occupational health, safety and the work environment are being raised more frequently, and a culture of participation and continuous improvement has emerged. By taking this step towards digital transformation, Mälarhamnar is strengthening not only its efficiency and safety, but also its position as a future-proof and sustainable player in port logistics.

Digital Driving Permits and a Real-Time Competence Database

With Hamnkoll, Mälarhamnar has digitalised the management of driving permits and all competence data. According to Tobias Samuelsson, Production Manager at Mälarhamnar, this is one of the most valuable functions for him, especially compared with previous processes that were cumbersome and time-consuming:

“The competence database and digital driving permits are the module that has truly made our work easier, because it is so simple and clear. The major benefit is that everyone — whether it is me, a production supervisor or a dock worker — has access to the correct version in Hamnkoll in real time. The system also provides a clear heads-up whenever something needs to be updated. Only a relatively straightforward one-time effort was required to transfer all old documents and update all driving permits.”

 

After that, the system largely takes care of itself. As a manager, you can quickly feel confident and know exactly who has which competence.

 

Mobile Access to the Management System

Hanna Bergström, who works with work environment and safety at Mälarhamnar, says that mobile access to the management system will make a real difference in their daily work. By having all important documents and processes easily accessible on mobile devices, employees no longer need to search through physical binders or log in to complicated systems.

This creates smoother workflows, reduces the risk of errors in a safety-critical environment and helps meet the requirements for systematic environmental and work environment management.

AI and the Future of Port Logistics

Mälarhamnar has also begun exploring how AI can improve and streamline port operations. Tobias, in his role as Production Manager, sees great potential in the AI functionality currently being used in a Hamnkoll pilot. The pilot allows all employees to ask questions about instructions, procedures and other information, and receive a natural and objective answer in return.

After implementing Hamnkoll — including group communication with read receipts, digital driving permits and AI support — Mälarhamnar is taking a major step towards modernising port logistics.
